TERMS & CONDITIONS – OUTBOUND PACKAGE TOURS

These Terms & Conditions apply to all outbound package tours organised by Ludus Lab Pte Ltd (“Ludus Lab”, “we”, “us”, “our”). By confirming a booking with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
1. GENERAL MATTERS RELATING TO PACKAGE TOURS
1.1 A “Package Tour” refers to any combination of flights, accommodation, transport, attractions, guiding services or activities sold as a package by Ludus Lab.
1.2 Ludus Lab acts as an agent for airlines, hotels, transport providers, attraction operators, and overseas ground partners.
1.3 All itineraries, hotels, airlines, and activities are subject to availability and may be adjusted due to operational, safety, weather, supplier or regulatory reasons.
1.4 Prices are based on exchange rates, airfares, taxes and land costs at the time of quotation.
1.5 Some tours require a minimum number of participants. If the minimum group size is not met, Ludus Lab reserves the right to cancel or revise the tour (see Clause 5).
2. MAKING YOUR RESERVATION & PAYMENT OF DEPOSIT
2.1 A booking is confirmed only upon receipt of:
Completed booking form
Copy of passport (minimum 6 months validity from return date)
Required deposit payment
2.2 Deposit required:
Minimum 30% of total tour price per person; or
Higher amount if required by airlines, cruise lines or overseas suppliers.
2.3 Certain arrangements (e.g. special event tickets, safaris, cruises, rail passes, peak season bookings) may require full payment upon booking.
2.4 Deposits are non-refundable once flights or land services are confirmed.
3. CONFIRMATION & FULL PAYMENT
3.1 Full payment must be made at least 45 days before departure, unless otherwise specified.
3.2 For bookings made within 45 days of departure, full payment is required immediately.
3.3 Failure to make payment by the due date may result in automatic cancellation and forfeiture of deposit.
3.4 Travel documents and vouchers will only be issued after full payment is received.
4. CANCELLATION BY THE CUSTOMER
All cancellation requests must be made in writing.
Cancellation charges per person:

4.1 Air tickets, cruises, rail passes, visa fees, travel insurance, and special event tickets are non-refundable once issued.
4.2 Amendments or cancellations are subject to airline and supplier policies.
4.3 No refund will be provided for unused services, voluntary early return, or no-show.
5. CANCELLATION BY LUDUS LAB
Ludus Lab reserves the right to cancel a tour due to:
Insufficient group size
Safety or security concerns
Government restrictions or advisories
Force majeure events
Supplier insolvency or operational disruptions
If Ludus Lab cancels the tour before departure, customers may choose:
A full refund of monies paid (excluding non-refundable third-party components), OR
Transfer to another tour of equivalent value (subject to availability).
Ludus Lab shall not be liable for additional compensation beyond refund of the tour price.
6. AMENDMENT BY THE CUSTOMER
6.1 Requests for amendments (e.g. name change, travel date change, extension) are subject to availability and supplier approval.
6.2 An administrative fee of minimum S$100 per person per amendment applies, in addition to airline or supplier charges.
6.3 Amendments made within 30 days of departure may be treated as cancellation and rebooking.
7. AMENDMENT BY LUDUS LAB
7.1 Ludus Lab reserves the right to make reasonable changes to flight timings, airline, hotels (same category or similar), itinerary sequence, or attractions due to operational or safety reasons.
7.2 Minor changes do not entitle customers to compensation.
7.3 In the event of a significant change (e.g. change of destination country or downgrade in hotel category), suitable alternatives will be offered where reasonably possible.
8. FORCE MAJEURE / PANDEMICS / UNFORESEEN EVENTS
Ludus Lab shall not be liable for delays, changes, losses or cancellation caused by events beyond our control, including but not limited to:
Natural disasters
War or civil unrest
Government restrictions
Pandemics or epidemics
Flight disruptions
Strikes
Weather conditions
Refunds in such cases are subject to recovery from third-party suppliers. Administrative charges may apply.
Comprehensive travel insurance covering trip disruption and medical emergencies is strongly recommended.
9. REFUND POLICY
9.1 Refunds (if applicable) will be processed within 30–45 working days after funds are received from suppliers.
9.2 Refunds will be made via original payment method where possible.
9.3 No refund will be made for unused services or voluntary withdrawal from the tour.
10. TRAVEL DOCUMENTS & INSURANCE
10.1 Customers are responsible for:
Valid passport (minimum 6 months validity)
Visa requirements
Transit permits
Vaccination requirements
Entry regulations
10.2 Ludus Lab is not liable if entry is denied due to incomplete documentation.
10.3 Travel insurance covering medical expenses, evacuation, and trip cancellation is strongly recommended and may be mandatory for certain tours.
11. HEALTH & FITNESS
11.1 Travellers must ensure they are medically and physically fit for travel.
11.2 Any medical conditions or mobility requirements must be declared at time of booking.
11.3 Ludus Lab reserves the right to decline participation if a traveller’s condition poses risk to themselves or the group.
12. ACCESSIBLE TRAVEL & SPECIAL ASSISTANCE
12.1 Ludus Lab supports inclusive travel wherever reasonably possible.
12.2 Accessibility standards vary across countries and may differ from Singapore standards.
12.3 Requests for wheelchair-accessible rooms, vehicles, or special assistance must be declared in writing at the time of booking.
12.4 While reasonable efforts will be made, Ludus Lab does not guarantee full accessibility due to overseas infrastructure limitations.
12.5 Travellers requiring personal care assistance must travel with their own companion.
12.6 Ludus Lab staff and overseas partners are not personal caregivers.
13. REMOTE LOCATION & MEDICAL EVACUATION
13.1 Some tours may involve remote, rural, safari, highland or island locations where:
Medical facilities are limited
Evacuation may be delayed
Emergency air evacuation may be required
13.2 Travellers accept the inherent risks associated with such destinations.
13.3 Ludus Lab shall not be responsible for medical, evacuation or repatriation costs.
13.4 Comprehensive insurance covering emergency evacuation is strongly recommended.
14. CURRENCY FLUCTUATION & PRICE ADJUSTMENT
14.1 Tour prices are based on prevailing exchange rates and supplier costs at time of quotation.
14.2 Ludus Lab reserves the right to adjust prices before full payment if there is significant fluctuation in:
Exchange rates
Fuel surcharges
Airport taxes
Supplier cost increases
14.3 Customers will be notified of any adjustments prior to final payment.
14.4 No surcharge will be imposed after full payment unless mandated by government or airline authorities.
15. SUSTAINABILITY & RESPONSIBLE TOURISM
15.1 Ludus Lab is committed to responsible tourism practices.
15.2 Where possible, we aim to:
Support local communities
Promote ethical wildlife practices
Reduce single-use plastics
Encourage cultural respect
15.3 Travellers may opt for voluntary carbon offset contributions where available.
15.4 Ludus Lab is not liable for performance of third-party carbon offset providers.
16. LIMITATION OF LIABILITY
16.1 Ludus Lab acts as an agent for third-party suppliers.
16.2 Ludus Lab shall not be liable for injury, illness, loss, delay or damage arising from acts or omissions of airlines, hotels, transport providers or other suppliers.
16.3 Liability, if any, shall be limited to the amount paid for the tour.
17. DATA PROTECTION
17.1 Personal data provided will be used for booking and operational purposes.
17.2 Data may be shared with airlines, hotels, overseas operators and authorities where necessary.
17.3 Ludus Lab complies with Singapore’s Personal Data Protection Act (PDPA).
18. INDEMNITY
Customers agree to indemnify Ludus Lab against losses, claims or damages arising from:
Breach of these Terms & Conditions
Failure to comply with local laws
Disruptive or unlawful conduct during the tour
19. GOVERNING LAW
These Terms & Conditions shall be governed by the laws of Singapore. Any disputes shall be subject to the exclusive jurisdiction of the Singapore courts.

These Terms & Conditions apply to all inbound tours, programs, workshops and experiences organised by Ludus Lab Pte Ltd (“Ludus Lab”, “we”, “us”, “our”) in Singapore.
By confirming a booking, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
1. GENERAL

Accessible tours
Learning journeys
Team-building programs
Custom-designed experiences
Workshops and training programs
Corporate and school bookings
1.2 Ludus Lab acts as an organiser and may engage third-party venues, attractions, transport providers and partners.
1.3 All programs are subject to:
Weather conditions
Government regulations
Attraction operating hours
Public safety advisories
1.4 Ludus Lab reserves the right to modify itineraries when reasonably necessary for safety, operational or regulatory reasons.
2. BOOKING & PAYMENT
2.1 A booking is confirmed only upon:
Written confirmation via email
Receipt of required deposit or full payment
2.2 For group bookings:
A non-refundable deposit may be required to secure guides, venues or transport.
Full payment is typically required 14–30 days prior to the event, unless otherwise stated.
2.3 For last-minute bookings, full payment may be required immediately.
2.4 Failure to make payment by the stated deadline may result in automatic cancellation.
3. CANCELLATION BY CUSTOMER
All cancellation requests must be made in writing.
Cancellation charges may apply as follows:

3.1 Venue deposits, transport bookings, attraction tickets or third-party costs that are non-refundable will be charged accordingly.
3.2 No refund will be provided for:
Late arrival
Early departure
Reduction in participant numbers after confirmation
No-show participants
4. AMENDMENTS BY CUSTOMER
4.1 Amendments to date, timing, participant numbers or program scope are subject to availability.
4.2 Additional charges may apply for:
Increase in participants
Venue changes
Rescheduling requests
Additional guide hours
4.3 Amendments requested within 7 days of the program may be treated as cancellation.
5. CANCELLATION OR AMENDMENT BY LUDUS LAB
Ludus Lab reserves the right to cancel or amend a program due to:
Severe weather (e.g. lightning risk, haze, heavy rain)
Government restrictions
Venue closure
Public safety advisories
Guide illness or emergency
Force majeure events
Where reasonably possible, Ludus Lab will:
Provide a substitute venue or route
Adjust timing
Offer alternative indoor programming
Reschedule to a mutually agreed date
Refunds (if applicable) are limited to the program fee paid.
6. WEATHER POLICY (SINGAPORE CONTEXT)
6.1 Singapore’s weather can be unpredictable, including heavy rain, lightning alerts, haze or extreme heat.
6.2 Outdoor programs may be modified or relocated to sheltered areas where feasible.
6.3 Programs may proceed in light rain unless unsafe conditions arise.
6.4 No refund will be given solely due to wet weather unless the program is officially cancelled by Ludus Lab.
7. ACCESSIBLE & INCLUSIVE TOURS
7.1 Ludus Lab is committed to inclusive and accessible tourism experiences.
7.2 Participants requiring:
Wheelchair access
Mobility assistance
Visual or hearing support
Neurodivergent accommodations
Dietary accommodations
must inform us in writing at the time of booking.
7.3 While Singapore has strong accessibility infrastructure, not all heritage buildings or older shophouses are fully accessible.
7.4 Some experiences may involve:
Uneven pavements
Crowded public areas
Public transport systems
Outdoor heat exposure
7.5 Participants requiring personal care support must attend with their own caregiver. Ludus Lab staff are not personal caregivers.
7.6 Ludus Lab shall not be liable for limitations due to public infrastructure beyond our control.
8. HEALTH & SAFETY
8.1 Participants must ensure they are medically fit to join the program.
8.2 Any medical conditions that may affect participation must be disclosed prior to the event.
8.3 Ludus Lab reserves the right to refuse participation if a participant’s condition may pose risk to themselves or the group.
8.4 Participants are responsible for:
Personal belongings
Staying with the group
Following safety instructions from guides
9. LIABILITY
9.1 Ludus Lab acts as organiser and may engage third-party suppliers.
9.2 Ludus Lab shall not be liable for:
Injury, illness or accident during the program
Loss or damage to personal property
Delays caused by traffic or public transport disruptions
Acts or omissions of third-party suppliers
9.3 Participation in physical, outdoor or team-building activities is at the participant’s own risk.
9.4 Liability, if any, shall be limited to the program fee paid.
10. CORPORATE & SCHOOL BOOKINGS
10.1 The booking organisation is responsible for ensuring:
Accurate participant numbers
Appropriate supervision (for minors)
Compliance with school or corporate safety policies
10.2 For student groups, teachers or designated adults must supervise participants at all times.
10.3 Ludus Lab is not responsible for disciplinary matters.
11. PHOTOGRAPHY & MEDIA
11.1 Ludus Lab may take photographs or videos during programs for marketing or documentation purposes.
11.2 Participants who do not wish to be photographed must inform us in writing before the program.
12. DATA PROTECTION
12.1 Personal data will be used for operational and communication purposes.
12.2 Data may be shared with venues, transport providers or authorities where necessary.
12.3 Ludus Lab complies with Singapore’s Personal Data Protection Act (PDPA).
13. SUSTAINABILITY COMMITMENT
13.1 Ludus Lab promotes responsible tourism and respectful cultural engagement.
13.2 Participants are encouraged to:
Minimise waste
Respect local communities
Follow responsible behaviour guidelines
14. GOVERNING LAW
These Terms & Conditions are governed by the laws of Singapore.
Any disputes shall be subject to the exclusive jurisdiction of the Singapore courts.
